Privacy Policy

Titus Transform is a coaching app run by Titus Fitness, LLC (“we”). Coaches use it to run their coaching programs, and their clients use it to follow their plans and log their progress. This policy explains what we collect, why, who sees it and the choices you have.
Your coach and us
If you are a client, your coaching business decides how your coaching information is used and can see what you log and send them. We run the app for your coach and follow their instructions, this policy and the law. Questions about your coaching should go to your coach first; you can always contact us as well.
What we collect
- Account details: name, email address, password (stored only in scrambled form), date of birth, gender if you give it, time zone and, if you turn on texts, your mobile number.
- Health and fitness information you enter: workouts, sets and how they felt, pain notes, food and drink logs, meal photos, daily and weekly check-ins, habits, body weight and measurements, steps, sleep, resting heart rate, progress photos, and records you or your coach upload such as blood work or body scans.
- Coaching information: intake answers, goals, plans, reviews and messages between you and your coach. If your coach uses these features: transcripts of your calls with your coach, the meetings you book, and the agreements you sign (see the sections below).
- Payment information: when you pay for coaching, you pay your coaching business on a page run by Stripe (see “Payments” below). We keep a record of each payment: what it was for, the amount, the date, whether it went through, and Stripe’s reference numbers. We never see or store card or bank account numbers.
- Technical information: sign-in records, device and browser type, and error reports. These never contain your health information, check-in answers or files.
How we use it
- To run the app: show your plans, save your logs and let your coach coach you.
- To send the reminders and notices you choose, by push notification, email or text.
- To keep accounts secure, prevent misuse and fix problems.
- To check you are 18 or older. Your coach may also use your age to offer you coaching programs suited to it.
We never sell your personal information. We never use health information for advertising, and we never pass it to advertising or analytics tools.
AI assistance
Your coach uses AI from our AI provider to help prepare your reviews and plans. With your agreement, given when you join, parts of what you send your coach, such as check-ins and logs, are processed by our AI provider. We send only what each task needs, and before anything is sent:
- your name is replaced with a record number (for example “C-4821”) that only your coaching business can link back to you;
- your email address, phone number, date of birth, address and ID numbers (such as medical record or account numbers) are removed from your answers and from the text of files like blood work;
- your gender and your age in years are included, because lab and body-composition reference ranges differ by sex and age.
AI analysis of your records. When you or your coach upload blood work or a body scan, the AI reads the figures (with identifiers removed as above) so your coach can check them, and suggests things for your coach to consider, such as questions to raise with your doctor. Only your coach sees these suggestions. This is on unless you turn it off in the app under Me, Privacy. Some coaching programs rely on it; with it off, you can’t join or stay on those programs.
Your progress photos. Photos are sent to the AI only if you say yes, which we ask once, separately. They are labelled only with the pose and date, never your name. You can ask for your face to be blurred in the copy we send; your stored photos stay as they are. The AI may describe visible change for your coach; it never estimates your weight or body fat from photos.
We use only AI providers whose business terms forbid them from training their models on this information and limit how long they keep it. Your coach reads and approves everything the AI writes before you see it. The AI does not give medical advice. Turning an AI choice off stops future sends; it does not recall what was already sent.
AI help with your intake and plans
These features are optional: your coach uses them only if their Titus Transform package includes them, and only with your agreement to AI help described above.
- Intake summary. After you complete your intake form, the AI reads your answers, the files you uploaded and, if your coach has them, transcripts of your calls (with identifiers removed as above). It suggests goals, injuries and limits, foods you won’t eat and anything that seems to be missing. Each suggestion is shown only to your coach, who accepts, changes or rejects it.
- Drafting your plans. The AI can draft your training plan, your nutrition plan and your blueprint (a written summary of where you are starting, where you are going and how you will get there). Calorie and macro numbers are calculated by the app, not by the AI. Your coach reviews, edits and approves each part before you see it; nothing the AI drafts reaches you without that approval.
- Lab results in your blueprint. If your coach chooses, your blueprint can include a short summary of blood work or scans you or your coach uploaded. It uses only figures your coach has checked, each point says to confirm it with your doctor, and your coach approves each one. It is not a diagnosis.
- Importing an existing plan. If your coach already coached you before using Titus Transform, they can have the AI read a plan document they have for you and turn it into a plan in the app, for them to check.
Calls with your coach
Your coach may keep a written transcript of your coaching calls to plan and adjust your program. This is optional, and happens only if you agree in your intake form (“Calls with my coach may be recorded and used to plan my program.”). You can take that agreement back at any time in the app under Me, Privacy.
- How a transcript arrives. Your coach can paste or upload one, or, if your coach connects their Zoom or Google account, the transcript their video service makes of a booked call is sent to Titus Transform automatically and matched to you. We fetch only the text transcript, never the audio or video.
- Who sees it. Only your coaching business. Transcripts are not shown in your app, but they are included when you download a copy of your information.
- AI. With your agreement to AI help, a transcript can be used by the AI features above. Names in it are first replaced with “Coach”, your record number or “Other”.
- Without your agreement, a transcript is not saved: an upload is refused and an automatic one is dropped. Taking your agreement back stops new transcripts; to have past ones deleted, ask your coach or us.
- Other people on the call. If someone else joins your call, tell your coach; the call should not be recorded unless everyone on it agrees.
Services your coach connects
A coach can connect Titus Transform to services they already use. These connections are optional; if your coach uses none of them, nothing below is sent. Each service receives only what is listed here, never your check-ins, logs, photos, records or plans, and its use of that information is covered by its own privacy policy.
- Google Calendar and Microsoft Outlook (your coach’s calendar): when you book a meeting, the event on your coach’s calendar has the meeting name, time, video link, and your name and email address as a guest, so you also get a calendar invitation. To find free times we read only when your coach is busy, not what their other events are.
- Zoom and Google Meet (video calls): we create the meeting link for your booking. If you agreed to call recording (above), the call’s text transcript comes back to us from Zoom or Google. Zoom and Google also receive whatever you share on the call itself, under your coach’s account with them.
- Calendly and Setmore (booking pages): if your coach books calls through one of them, you enter your name, email address and any answers on that service’s page, and it tells us about the booking so we can link it to you.
- DocuSign and SignNow (e-signatures): to send you an agreement to sign, the service receives your name, your email address, your coaching business’s name and the agreement itself (see “Signing agreements” below).
Your coach’s connection to each service is stored encrypted, and your coach can disconnect it at any time.
Signing agreements
Your coaching business may ask you to sign agreements, such as a coaching agreement or a waiver, electronically through DocuSign or SignNow before you start. When you have signed, we keep a copy of the signed agreement (and the service’s signing certificate, where there is one) with your files. You and your coach can see it in the app, and it is included when you download a copy of your information. The signing service and your coaching business’s account with it also keep a copy under their own terms. Our copy is deleted with your account, unless the law requires your coaching business to keep it longer; if so, we will say so here.
Booking a call
A coaching business may share a public booking link so anyone can book a call, such as a first consultation, without an account. When you book, you give your name, email address and, if you choose, your phone number, and you agree that the business may contact you about coaching. The business sees your booking and contact details; no account is created for you. If you later join that business, the booking is linked to your new account. You can ask the business, or us, to delete your details at any time. If a booking is paid, your payment is handled as described in “Payments” below, and the business’s cancellation and refund policy is shown before you pay.
Coaching business pages and cookies
A coaching business may publish a page about its coaching, for example one its ads link to. When you visit one, we set a cookie that remembers your browser on that page, so the business can count visits and see which of its ads or links brought people to it. The cookie holds a random number; we keep only a scrambled form of it, never share it, and never use it on other businesses’ pages. If you arrived from an ad, we keep the campaign details that came with the link and, for ads on Meta (Facebook and Instagram), Meta’s click reference. We keep a scrambled form of your internet address for one day’s abuse checks, never the address itself. A banner on the page asks whether the business may also measure its ads with Meta; that stays off unless you choose it, and a browser that sends a Global Privacy Control signal is treated as having said no. You can change your choice from “Your privacy choices” at the bottom of the page. Videos on these pages come from YouTube, Vimeo or Wistia and load only when you press play.
If you leave your details to hear from the business, it receives your name, email address and, if you give it, your phone number, with the page and ad you came from, and it may contact you about coaching. Marketing emails are sent only if you tick the box for them, and every one lets you unsubscribe. We use Cloudflare Turnstile to keep automated sign-ups out. You can ask the business, or us, to delete your details at any time.
Only if you say yes to advertising cookies, the business’s Meta Pixel loads on its pages and we tell Meta (Facebook and Instagram) about steps you take there: that you viewed the page or its video, left your details, qualified, booked or attended a call, or bought coaching (with the amount). To match these to Meta accounts we send your email address, phone number and name only in a scrambled (hashed) form, with a random visit number, your internet address and browser type, and Meta’s own click and browser cookies. We never send your answers, scores, messages, call notes or anything about your health. We keep your internet address and browser type for this, encrypted, only while your choice stays yes and for at most 90 days after your last visit; events waiting to be sent are encrypted and are deleted seven days after they go. Saying no, or changing your choice to no, stops all of it.
Who we share it with
- Your coach and any assistant coaches they assign to you.
- Service providers who run parts of the app for us under contract and may use your information only to provide their service: hosting and database, email delivery, text-message delivery, push notifications, payments (Stripe, below) and the AI provider above. Food databases receive only search words and barcodes, never who you are. The services your coach chooses to connect receive only what is listed under “Services your coach connects” above.
- Meta, for a coaching business’s ads, only for visitors to its pages who said yes to advertising cookies, as described under “Coaching business pages and cookies” above.
- When the law requires it, or to protect someone’s safety.
Progress photos are never used in marketing or shown to anyone beyond you and your coach without your separate, written permission, which you can take back at any time.
Payments
Payments are handled by Stripe. When you pay your coaching business, the payment goes to that business’s own Stripe account, and the business is the seller.
- Stripe receives your name, your email address, and the card or bank details you enter. You enter those details only on Stripe’s own pages, never in our app.
- Stripe receives no health or fitness information: no check-ins, logs, photos, records or goals. It sees only the name of the program or item you pay for and the price.
- Stripe and your coaching business keep their own records of your payments. Stripe’s use of what you enter on its pages is covered by its privacy policy.
Coaching businesses pay us for Titus Transform through Stripe in the same way.
Text messages
Texts are sent only if you opt in; see the text message program. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-message opt-in data and consent are not shared with any third parties, except the text-message provider that delivers the messages. Reply STOP to stop and HELP for help.
How we protect it
Information is encrypted in transit and at rest. Uploaded files are kept in private storage and opened only through links that expire within minutes. Each client’s information is walled off so only they and their coaching business can reach it, coaches must use two-step sign-in, and every time a coach opens a record or progress photo it is logged. Our staff can see a coaching business’s client information only with that business’s time-limited permission, which is logged.
How long we keep it
We keep your information while your account is open. If you delete your account, we delete it 7 days after you ask (you can cancel until then): your profile, logs, check-ins, reviews, messages, progress photos, files, voice notes and meal photos, call transcripts, signed agreements (see “Signing agreements”), your agreements and your sign-in. Your coach keeps only your client record number and the dates you joined and left, so their client history still adds up, and our security log keeps a record of what happened, without your health information. A copy of your data you downloaded is deleted from our systems after 7 days. If your coach leaves Titus Transform, they get a period to export their clients’ information, after which it is deleted.
Your choices and rights
Clients can manage most of these in the app under Me, Privacy, which also shows who sees what and every agreement you have given, with its date and version.
- See and correct your information in the app, or ask your coach.
- Turn AI analysis of your records off, or back on.
- Say yes or no to AI help with your progress photos, and ask for your face to be blurred.
- Delete the progress photos, files and meal photos you added.
- Download a copy of your information from the app: a ZIP file with your data and your original photos and files. We email you when it is ready, and it is kept for 7 days.
- Delete your account from the app. It is deleted 7 days later, and you can cancel until then; your coach is told.
- Turn each reminder, and texts, off at any time.
- Take back your agreement to AI help with your reviews by contacting us or your coach.
- Take back your agreement to your calls being recorded, in the app under Me, Privacy, and ask for past transcripts to be deleted.
Depending on where you live, you may have further rights under your state’s law. Email us to use them; we will not treat you differently for doing so.
Age
Titus Transform is for adults 18 and over. We do not knowingly collect information from anyone younger.
Not medical care
Coaching is not medical care, and Titus Transform is not a medical service. Talk to your doctor about any medical question.
Changes
If we change this policy in a way that matters, we will tell you in the app or by email before the change takes effect, and ask you to agree again where the law requires.
